Below please find the minutes from the BNL EIC IR Design mtg held
on Friday, June 14, 2019.

Draft Agenda for meeting:
- Update by Holger on the IR Magnets
- Update by Guillaume
- Update by Bob on some vacuum considerations

* The meeting started with a discussion of the agenda. No items were
added to the agenda. As Guillaume wasn't present, his update was dropped
from the agenda.
* Holger walks us through his presentation on the status of the IR
Magnet designs and simulations.
- His presentation is on the Sharepoint site for this weeks meeting.
- The slides walk through the various magnets, commenting on issues,
or lack thereof, with the various designs.
* We had a brief discussion about a "Baseline" document that gets posted
on the Sharepont site that lists all of the various parameters related
to the IR design and magnets.
- ACTION ITEM: Holger and Bob will look over this document, and
then send it to Elke for posting on the Sharepoint site. The idea is
that this document doesn't get changed unless it is discussed in an IR
Design meeting and/or Holger approves and announces that it has been
changed. In later discussion in the meeting it was discussed that Elke
will create a Folder on the Sharepoint site with an appropriate folder
name to place this, and other controlled documents.
* It also came up in this same discussion that it is important to know
if there is a solution for matching the electron beam into the rest of
the ring with the parameters listed in this document associated with the
electron beam. Stephen estimates he could have a result on this next
week. If so, he will send an E-mail to the IR Design mailing list
describing the results of his study. We'll also put him on the agenda
for the next meeting to present his study.
* Next Bob presented his slides.
- His presentation is on the Sharepoint site for this weeks meeting.
- In his presentation Bob was discussing issues associated with
aperture requirements in the IR Design to deal with the beam envelopes,
scattered electrons and hadrons, and in particular the synchrotron
radiation fans that one might have to deal with, motivated by Mike's
synchrotron radiation simulation results presented at the previous IR
Design mtg.
- In Bob's presentation, in addition to many other things, he showed
how increasing the diameter of the round beampipe at the IP from 3 to 4
cm radius alleviated some possible aperture issues. This stimulated a
discussion about what the effect of a change like this would have on the
detector design and physics program. The conclusion of the discussion is
that no change to the current 3 cm radius for this IP beampipe is going
to be made or presented at this time, but that clearly this is a design
parameter that will need and get more discussion as time goes on.
- It was discussed a bit that there is a current, ongoing effort
associated with KeK to iterate and try to resolve inconsistencies
between their synchrotron radiation simulations and their actual
observations as they are commissioning the machine. This effort will be
tracked, as it has direct bearing on the aperture considerations for the
EIC IR design.
* It was discussed that any beta* parameters in the Baseline IR Design
parameter document that Bob and Holger post get taken out of the
document. Vadim has a Spreadsheet that contains what will be treated as
the "baseline" machine IR optics parameter document. This document will
get posted in the Controlled document folder that Elke will create on
Sharepoint. Just like the document that Holger and Bob will be placing
in this folder, changes to this optics parameter document will be
controlled in the same fashion.
* Discussion of the next meeting:
- The meeting will be held two weeks from today, on Friday June 28th.
