Dear ECCE Enthusiasts:

It’s terrific that opportunities are arising for ECCE talks at conferences, and we look forward to seeing all the hard work that is being put into ECCE in a vast array of talks and posters. As a reminder, the deadline for DNP abstracts is July 1st, as Or noted in his email from last week:

https://lists.bnl.gov/pipermail/ecce-eic-public-l/2021-June/000138.html

We still want to keep the ECCE bureaucratic structure relatively lightweight, but we need to establish some customs and procedures for submitting abstracts and reviewing talks. The Steering Committee has discussed this with the Team Convenors, and has decided to adopt the following procedures to review ECCE-specific talks and presentations.  It should be noted that the purpose of these procedures is *not* to exercise editorial control on style, etc., but to ensure that ECCE-specific talks are using the latest material and that all ECCE talks at a given conference are self-consistent.

  • If you are planning a contributed conference talk that focuses on studies performed with ECCE specifically, the abstract of the talk should be reviewed and approved by the convenors of the relevant ECCE working group.  If there is doubt as to which Working Group is appropriate, please contact the Steering Committee.
  • For any talk on studies performed specifically with ECCE (contributed or invited) a draft of the talk should be circulated to the relevant lists (det, phys, comp, etc.) *at least* three days prior to the talk so ECCE members can comment.
  • A final version of the talk should be posted in the ECCE Zenodo. Instructions for posting talks in Zenodo will be forthcoming soon.

These procedures will help make ECCE talks the best they can be without putting an undue burden on the presenters. They have been added to the ECCE Consortium Structure document posted on the ECCE website. As a reminder, once the ECCE proposal is approved we intend that ECCE will reorganize with a more detailed set of bylaws appropriate to a modern collaboration.

If you have any questions, please feel free to contact us.

Regards,
Tanja, Or and John
