Dear Group Leaders,

Please take note of this guidance propagated to us through an ASCR PEMP Notable.  See below.

If there are any AI related communications, please let Haiyan know and she will keep Kerstin informed as Kerstin is the POC for BNL with ASCR.

As it is rather vague what constitutes a communication,  we got some further clarification through some examples:

  1. DOE SC or non-SC or other bodies send our request for information for AI, then we need to inform Kerstin, and in such cases, the lab organizes collection of info
  2. ML is a part of AI
  3. If media, companies or others ask us to communicate on what we are doing in the space of AI, then we need to inform ASCR
  4. If we are going to publish a paper that is mostly on AI, then again, yes
  5. If we are organizing a workshop, meeting, conference, etc, that focuses on AI, then YES
  6. If we publish a STAR paper, or HEP or IP paper, in which AI/ML is used, the response is NO
  7. Talking with DOE-HEP, NP or IP about AI/ML, NO.
  8. When in doubt, please ask, and if Haiyan does not know, she will ask Kerstin.

Best,

Hong.

Subject: ASCR PEMP Notable on AI

Dear colleagues:

I would like to share the following info with you.

“The Office of Advanced Scientific Computing Research (ASCR) has requested to add the following  FY 2024 Notable Outcome to Goal 3:

Goal 3.0 - Program Management

ASCR: Ensure that all communications related to Artificial Intelligence between BNL and SC, DOE, vendors, the Administration and Congress are aligned with DOE/ASCR goals, strategies and guidance. (Objective 3.3)”

It is very open ended and requires a lot of tracking and communication from our side. The experience has been that they wanted to know about absolutely everything from the smallest to the larger items. So any AI related communications, please let me know and I will keep Kerstin informed as she is the POC for BNL with ASCR.

Please let me know if you have any questions. Thanks.

Best, Haiyan
