An informative and sad thread on the prospect of a Geant4 collaboration meeting at BNL. What I take from the thread is I should approach Stony Brook. Comments appreciated.

                It was the original intention that a building outside the fence would make things easier.  Things have changed a lot since then.  More restrictions.  We will see how it will operate after it is really opened.

 

                It would only be easier if one can declare the event open to public.   But as far as I know,  “open to public” is not an option for meetings like GEANT-4 collaboration meeting.

Yes, this would be Sep-Oct 2025. But if the admin burden remains the same as inside the fence, that gives me pause. It is a burden both for us and attendees. I thought the point of facilities outside the fence was to reduce the requirements.

                A meeting of 40 people is certainly manageable.  It needs to start preparation early, and make sure all participants will register with GUV center well in advance of the workshop.    I do not think using Discovery Park will ease any organizational burden, as all requirements for hosting event will still apply.    But if the facility there is best suitable for such event, you can certainly host it there.

Hi Hong,
Makoto Asai has asked about the possibility of BNL hosting a Geant4 collaboration meeting. (He also asked about BNL supporting with e.g. fee collection a meeting elsewhere, which isn't tenable I know.) BNL *should* be a Geant4 meeting host, it is overdue, so this is a welcome suggestion. These meetings are open only to Geant4 collaboration members and invitees. Attendance seems to be ~40 people typically. Thanks to the LDRD BNL now does have two members, Kolja and Maxim. We could expect a few more local invitees by invitation. Do you think we could have it in Discovery Center? That would keep the administrative load low both for BNL organizers (we should not make a tremendous effort on a meeting with low local participation) and attendees. The other possibility is Stony Brook, but this seems the right sort of scale to try out Discovery Park.

Hi Torre,

 

It will be the tern of US to host the annual Geant4 collaboration meeting in 2025.

I’m looking for the location and host.

 

Dennis wants to host it at Santa Fe in New Mexico (you might know he had retired and now lives there), but he cannot collect the registration fee or make contract with a hotel.

I / Amber asked JLAB Event Services if JLAB could host it, but they refused hosting an event that is far away from JLAB site.

 

In this situation, let me ask you a couple of questions.

 

  • Is it possible for BNL to host this sort of remote event? The supports we need are collecting registration fees, making contract with a hotel for the meeting rooms (and potentially the refreshments, etc), and paying such expenses from the collected money.
  • If such remote event is not possible, is it possible for BNL to host the collaboration meeting on site or nearby location?

 

The timing of the 2025 collaboration meeting will be late September or early October in 2025.

JLAB hosted it last time and FNAL hosted the second previous one, while SLAC hosted it twice in the past.
