Dear all,

This is an urgent call to look into the possibility of providing some person power at BNL in early 2023 (January, February, and March) to prepare the 2024 RHIC spin run. We would also like to log who will be at BNL during the run. Please try to fill out the following google sheet calendar (or ask your group leader to do it) by January 9. Our next cold QCD meeting will be on January 11 at 8:30 ET, three weeks from today (**).

  • There is one line per person, and we ask you to modify only the lines that concern you or your group. 
  • One column is one week. Mark the weeks using the drop-down menu. There are currently the categories "sPHENIX shifts" (that is, you appear in the central sPHENIX shift schedule), "at BNL" (generic), "at BNL for hardware", "at BNL for software", "available for remote software development". Please feel free to add more categories if you see fit, but please in this case add them to all rows and columns, or ask Caroline to do it. 
  • If you cannot explicitly plan yet at this point, please put at least a comment in the column "presence at BNL overview". 
  • Add your email for easy communication. This will make, for example, the sharing of cars easier. 
  • Secondly, after row 30 in the google sheet you can find a list of tasks (as compiled by Itaru). Please consider putting your name in column E to indicate your interest. All tasks have to be covered!
At the December 21 cold QCD meeting, https://indico.bnl.gov/event/21571/, we discussed the following after Itaru's presentation: 
  • We currently assume (*) that the RHIC 4K cooldown will start on March 4 and that therefore first collisions with polarized pp beams will occur around mid-March. We assume the run will end in late September.
  • The "hot time window" to prepare the spin run is mid-January to mid-March. Most tasks can be done in parallel and also by grad students without much prior knowledge (except probably cosmic trigger).
  • At the very least 2 persons are needed, but ideally 4-5 in January / February / March.
  • Some software development can start remotely and essentially now, but it would be better to at least start the software development during a stay at BNL. 
  • During the run, we will need 1 person at a time to cover the spin-on-call. We will have to establish a plan for who will be on call when, which is why we ask you to plan ahead. 
  • For details, see Itaru's presentation as linked in the indico cited above.
(*) This may change but it is our best assumption at this time. It is to my (Caroline) knowledge also not certain that we will start with pp (and not AuAu).

Dear all,

after a few weeks without meetings due to the collaboration meeting and
travel, we will have another meeting coming up next week, Thursday,
December 21 at the usual time 8:30 ET (14:30 CET / 22:30 JST/KST).

and we are planning to have a discussion about the preparations of the
upcoming run with the new spin coordinator for that run. In particular,
we want to have a discussion about the scalers we need and volunteers
for the various spin-related tasks during the run. For that purpose it
would be good, if people could contact Caro and myself directly about
their travel plans/availabilities for the run 24 period.
Additionally, I think we agreed last time that Sasha will present a bit
about how we performed the pile-up correction in PHENIX for the
luminosity evaluation.
