Dear IB members,

Many thanks to everyone who has updated their institution's entries in the speadsheet. Dave has updated the data base underlying our phone book with the information received so far. This information will provide the basis for shift-signup and the author list. Please note that the first round of shift-signup will start shortly after this week's GM, and only sPHENIX members in the phone book will be able to select shift dates. While the authorship policy is still being discussed, we will also prepare and present a first version of the author list to test the underlying process and technology - if you have not updated the spreadsheet this may cause some consternation among your group members when they can't find their names on the author list. 

If you have any difficulties with filling out the spreadsheet, please let us know and we'll find a solution.

Dear IB representative:

As a first step to many of the tasks ahead (creating an authorlist, filling the shift schedule) we are looking to update our information about each institutions collaborators. We are starting this process from the information collected in summer 2021. Although this means that there will be quite a few changes for many institutions, we have found that updating this information should only take 5-10min of each IB members time. 

We are collecting the information on this Google sheet:

Before changing information on the Google sheet, pease read the information below carefully:

 

Please add new rows for new members in your group (which can be new to sPHENIX or have moved from another sPHENIX institution). But most importantly, DO NOT REMOVE NAMES/ROWS FROM THE SHEET, as this provides our record of current and former collaborators. 

Column A: "Institution updated". Please change the value of this field to "Yes" after updating your institutions information

Column B: "Institution" 

Column C: "First Name" of collaborator

Column D: "Last Name" of collaborator

Column E: "Email" for current group members; if the group member has moved to another sPHENIX institution, there is no need to edit the email. If the group member has left sPHENIX and you have their new email, please enter it here.

Column F: If the group member is "new", has "left" sPHENIX or has "moved" to another sPHENIX institution, please indicate in this column so that the appropriate changes in the phone book can be made

Column G: Please enter current or last available career status for current group members or former group members that have left sPHENIX. If the group member moved within sPHENIX we will pick up career status from the current institution

Column H: While we will determine authorship according to the guidelines under preparation by the authorship committee, we are hoping to get an approximate count of expected sPHENIX authors from this survey. This question should be answered for all current group members and those that have left sPHENIX,  including e.g. technicians and engineers. Note that answering "yes" or "no" on this survey will not determine the eventual author status of the collaborator, but is for statistical purposes only.

We are asking the IB members to update this document by close of business on Tuesday, 1/31/23. IB members should expect regular reminders starting Friday of this week.
