Dear sPHENIX Team Leaders,

According to the recently adopted authorship policy, a report needs to be submitted to the Authorship Committee on behalf of every sPHENIX member who wants to be listed as an author on sPHENIX papers.

The reports should describe how each person has fulfilled the requirements to become an sPHENIX author. To initially qualify for regular authorship, a member must have spent a significant fraction of their research time for a period of one year on service to the collaboration. Service work includes detector construction and commissioning, calibration, data production and quality assurance, software development of general utility, mentoring junior people in the performance of the preceding tasks, and service in non-technical roles required for the functioning of the collaboration.

Junior members who have completed an exceptional amount of service work in a shorter amount of time (consistent with the amount typically performed in a full year) may petition for early addition to the author list after six months.

In addition, former sPHENIX members and technical personnel who are not qualified for regular authorship are entitled to be listed as authors on the first 3 physics papers under sections 2.1 and 2.3 of the Authorship Policy.

The Authorship Committee would like to request your reports on each team member who is qualified to be an author. A few sentences for each person should suffice. For each task, please specify the nature of the task, time frame during which the task was performed, and the fraction of the person's research time that was devoted to the task.

The initial round of submissions is only for two categories of people: (1) current members who have already qualified for authorship, and (2) former members and technical personnel. If you have team members who have not yet completed enough service work, please do not submit reports for them at this time. After we have compiled the initial author list based on these reports, we will evaluate new reports and update the author list on a monthly basis as additional members qualify for authorship.

We request that you prepare your reports by July 17. Submission will be via the following google forms. Note that there are separate forms for the two categories of authors discussed above. Please do not mix them up.

Submitting these reports is primarily the responsibility of each institution's IB member. Please contact the Committee if you have any questions. Thank you for your assistance in compiling the author list.
