One of the goals discussed at the Rutgers meeting was to ensure timely and open communication of important topics within the collaboration. Things are developing on many fronts, and this could be an instance in which a regular short meeting to disseminate news and status updates, collect feedback and start further discussion might be beneficial.

We have therefore prepared a doodle poll to find a regular meeting time for a “sPHENIX general meeting” on a biweekly (fortnightly) schedule. The current poll looks for meeting times on Fridays, which is probably the best day for university folks outside of BNL:

We propose to start the meetings on either 3/4 or 3/11, following a fortnightly scheduled from then on. We would try to organize a local meeting room at BNL, reliable video connection to the outside, an Indico agenda for presentation slides and documents, and meeting minutes. To illustrate the purpose, the agenda for the first meeting could include a number of 15-20 minute updates:

- News (Dave, Gunther)

- Project update (Ed)

- EC election status (Dan, Rosie)

- Establishing topical working groups (Dave, Gunther + general discussion)(*)

We will have a call for additional agenda items before the meeting. The total length of the meeting should typically be between 1-2h and mostly be run for the benefit of outside participants. 

Please let us know if you have any comments and suggestions (and fill out the doodle poll). We believe that these meetings could be effective in making it easier for everyone to engage in the experiment’s progress, and we’re prepared to pursue and tweak this idea to make the meetings as successful as they can be.
