Dear Collaborators,
It was great to see the status of all of the PPGs last Friday at the PCM. We would just like to clarify some questions that came up about conference notes and the approval procedures for analysis notes during the meeting.
-Conference note guidance: During Dennis’s slides at the PCM, we discussed that conference notes for QM’25 could be shorter than, for example, the notes we had produced for SQM’24. Our PubBoard policy document defines the notes as follows: “A conference note has the same information as a paper draft, albeit with a shorter review process.” Our guidance is that for the QM’25 notes, the conference note should focus on including material that is related to significant analysis techniques, corrections, and uncertainties (perhaps at the level of detail appropriate for a Letter paper). Other material for the paper such as an extended physics introduction, broad literature review, description of sPHENIX detectors, interpretation, and conclusion, etc., can be minimized. To assist with this, we will provide draft text that can be adopted for all notes that provides a brief overview of the sPHENIX detector.
-AN approval is the responsibility of both the IRC and the topical group conveners (TGC). Please see email message from Anne for more details.
-Because of its importance for several PPGS, reviewers for the AN for vernier scan analysis will be assigned.
