Hi sPHENIX colleagues,

Here are some reminders for the many of us presenting sPHENIX posters at QM’25, and for the TGs and detector groups reviewing them :

* All posters should use our common template for QM’25 posters, as reminded by Jin in the GM, and available on the wiki [1]

* All poster drafts need to be circulated to relevant TG or subsystem list by Wednesday, March 26th, as reminded by Marzia in the GM, and listed in our Speakers Bureau policy [2]. For the purposes of circulating the draft posters, it is OK to have placeholder “sPHENIX Internal” Figures for which we are still awaiting approval.

* All Figures using data that are on our Public Results page [3] can be freely used

* For Preliminary or final physics plots which are not yet public, you will need to wait until those are fully approved over the next two weeks. Please do not print your poster until you have the final “sPHENIX Preliminary” or “sPHENIX” approved versions! We suggest following the approval process closely and communicating regularly with those involved.

* For Preliminary performance plots with data (no physics message), we are asking TGs and subsystems to closely review drafts of these in their meetings this upcoming week, 24-28 March. After this, our policies [4] require that they are circulated in a short internal note to sphenix-l, and approved in a plenary session. For convenience, we recommend that TGs or subsystems circulate all their plots together in one note if possible - as was done by the tracking team recently. We are planning to approve performance plots in plenary sessions during our pre-QM week [5].

* For simulation performance plots, the procedure is similar to the above for performance plots in data, but there is no presentation in a plenary meeting required. (So there is an internal note, a presentation in the TG or subsystem group, and then a circulation to sphenix-l with the proposed plots for comments.) We are again asking the TGs and subsystems to review these this upcoming week, 24-28 March, so that it is completed before the pre-QM week. Older simulation plots we have previously shown can be used, but please check that they properly convey the message we want about sPHENIX performance (for example, that they are not out of date in terms of our capabilities).
