Dear all,

We had a MVTX project management meeting today and discussed action items and near term plan.   

We propose to start to work on the full proposal based on the materials we already have in the pre-proposal. 

With the help from Xuan Li and Sanghoon Lim, we now have a new MVTX proposal Overleaf page (pro-version!), thank you Xuan and Sanghoon!

The structure of the full proposal will be updated in next a few days to address the findings and recommendations from BNL Director’s Review. 

We also see it is the time to start  bi-weekly MVTX consortium meetings to discuss technical work and progress of the full proposal. 

It seems the Friday 12:00PM –1:00PM (BNL) slot between sPHENIX general meetings could work for many of us. 

We suggest to have the first meeting ~two weeks from now,  on 9/15 (Fri.) 12:00-1:00PM (BNL). 

Also, Berndt would like to have a discussion with DOE sometime mid-end October about sPHENIX and MVTX. It would be good to have an updated MVTX proposal by that time, at least addressing the main recommendations of the MVTX DR, which should be possible if we work assuming the timescale that we discussed last week (see below).

Subject: MVTX workfest Dec. 5-7 @Santa Fe

Dear all,

Following the very positive recommendations from the recent MVTX BNL Directors Review, we propose to move forward to prepare for the full proposal submission to DOE by early 2018 (~Jan. 2018?). 

After some discussions, we think a dedicated workfest in early December  before the sPHENIX Collaboration Meeting would be timely to push for the completion of the full proposal by the end of this year.

MVTX workfest: Dec. 5-7 (Tue-Thu.), 2017, Santa Fe, NM

sPHENIX Collaboration: Dec. 8-10, Santa Fe, NM

Here is a summary of action items and proposed timelines (draft, to be discussed with ALD and review committee ) following the Directors Review Recommendations:

1.     Solicit multiple theory predictions – December 2017 

2.     Refine the three key physics plots – October 2017 

3.     MoU with CERN for stave production – December 2017

4.     Refine cost estimate with CERN – DONE

5.     QA plan for tests (readout and cooling needs at LBNL and BNL) – October 2017

6.     Cost of building two inner layers – DONE  

7.     Scenarios for repair and replacement – October 2017 

8.     Refine estimates for engineering design -  End September- 2017 

9. Include Cost of Extension cables – End September 2017 

10.  Consider including UV sterilization of demineralized water in cooling plant,  October 2017

11.  MoU with key production sites – December 2017 

12.  Optimize design of INTT and MVTX simultaneously – Feb-March 2018 – this will need sometime

13.  Re-evaluate mechanical engineering costs once INTT and MVTX are final – after March 2018 (– too late?).

  - related to #8 & #9, here one should make sure that the contingency is properly estimated to absorb cost variations due to different designs.   

     realistic contingency on carbon structures – End September 2017

14.  Develop a Project Management Plan – September 2017, a draft available

     – how detailed this plan needs to be at this stage of the project, further discussion with ALD/DOE. If PMP needed draft by October 2017 

15.  Clearly define scope, WBS dictionary, deliverables – October 2017

  –  not sure if all this is needed at this stage of the project, but can be done, further discussion with ALD/DOE 

16.  Evaluation and documentation of risks – October 2017
