Hi Rosi,

I think I’m not subscribed to sepd-l, so feel free to forward to the list.
I think for now it’s not essential that the sEPD is represented at every shift change meeting.  It’s only important if the status changes or you want the shift crew to do something.  Also, I have the day shift leader attend the 8:30 planning meeting.  So there’s some communication through that.
The experts list should load just like any other page on the run page if you authenticate through SDCC.  It works for me just fine.
Yes, there should be a back-up to the current subsystem expert, I agree.

Cheers,
Stefan

Hi Stefan (sEPD list in cc),
Sorry we missed the first shift meeting - Mondays our sEPD meeting is at 4pm and until the semester is over it is complicated to change meeting times.  However, we will make sure one of our sEPDers attends this meeting at 330 pm our people on the ground are Tristan, Micah and JaeBeom.  I will try to make the change on Wednesday so I can get a feel, though I have to give a midterm to 300 students at 425 pm that day so I will have to duck out early.
Perhaps this is only my problem, but when I click on the experts list on the webpage, it spins forever.  I did try with a private window and got the same result, so it wasn't that it was picking up some STAR login from my browser.  Is this generically the case?  I'm happy for us to fill in the spreadsheet in the meantime.   I'm assuming in general that most detectors once we really start operations will have a call list that involves more than one person in a given 24 hour period.
Cheers,
Rosi

Dear All,

Here are the minutes of the first shift change meeting:

Best,
Stefan

Plan of the Day/Week:
-------------------------------
•Still in construction mode
•Day Shift Leader should attend 8:30am planning meeting to know what’s going on
•Leave detector cooling on
 •Shift crews check regularly
•Stress-test systems
•Getting into a mode where detector LV is on, and not just racks
•Practice:  getting into a mode where shift crews work with subsystem experts
•Shift Leader needs to be in the loop of what’s going on
•Documentation
•Establish how to respond to alarms
 •Document subsystem status
 •Improve run web site
•Learning
 •how to operate detectors
 -subsystem documentation

Subsystem status:
-------------------------
MBD (Mickey)
- North installed
 - able to see signals, cables are in, Steve and Kevin will cable safety system to shut off HV, after that North can be left on
- South:  waiting for MVTX (this week)

HCal (Virginia)
- all installed, all working, switched to actual GTM and working
- leave LV on from tomorrow 8:00am to be monitored by shift crew

EMCal (Sean)
- all installed
- cooling water tested to preamps and SiPMs
- currently on bypass
- need to switch away from bypass in order to leave cooling on all the time; if cooling goes down, LV is switched off automatically
- testing couple sectors at a time to make sure cabling is working (Anthony, Tim); assume lots more work in bore
- in expert mode

TPOT (nobody)
- flowing purge gas N2 from bottle in IR, no ODH hazard
- Jon K doing noise tests
- should figure out at 8:30 meeting whether shift crew should check on gas (South side of IR)

TPC (Jin)
- expert control
- off
- working on cooling
- commissioning read-out chain
- John K took pulser data
- also being purged with N2

INTT (Rachid)
- installed
- commissioned S and N with temporary chillers
- final chillers since yesterday for ROCs
- detector cooling starting tomorrow
- GUI for LV system has been tested
 - should be available by beginning of next week
- bias control is working and is going to be released to shift crew next week
- will re-test every time MVTX or MBD goes in
- will work on documentation next
- after that will work on FELIX readout
- in expert mode for now, next week shift crew

MVTX (Cameron)
- installed
- last mechanical checks for its position
- next, bringing cooling system online
- three chillers, one working already
- if that works, system test (electronics)
 - will do remote
- expert operation for this week

sEPD (no one)
- not installed, no frame
- need frame for VESDA smoke detection system

DAQ (Dan L)
- unplanned shutdown this morning
- buffer boxes down (didn’t come back up yet)

Magnet (Kin)
- this week hi-pot test at 520 V, waiting for expert availability

Gas/cooling water (from Rob)
- major re-balancing of cooling water flow expected for tomorrow

Dear First sPHENIX Shift Crew, Subsystem Experts, Operation Board Members, and All,

On Monday (4/10) at 3:30pm we will have our first Shift Change (well, really Shift Start) Meeting in the 1008 Conference Room followed by Shift Training with walk-through.

Shift Crews
—————
While you all had shift training already in preparation for the IRR, that was a while ago.  So on Monday we’ll focus on what is relevant for the first week of shift.

Subsystem Experts and Operation Board Members
———————————————————————
An integral part of the shift change meeting is reports from the subsystem experts.  Participation in person is highly encouraged.  (There may be a need for detailed explanations to shift crews after the meeting.)

We will need subsystem experts throughout the run as local point persons for shift crews and run coordinator/period coordinator, which included to (i) participate in the shift change meetings, (ii) train shift crews, and (iii) be on call 24/7 (cell phone).  We leave it up to your subsystem teams how to organize this.  But the current subsystem expert should be listed on the subsystem expert list on the run page:

https://sphenix-intra.sdcc.bnl.gov/WWW/run/2023/subsystem_experts.html

In addition, please maintain this spreadsheet for the week-by-week subsystem expert coverage so we can be assured at any point that at least the upcoming few weeks are covered:

Finally, All
—————
I’m sending this to both sphenix-run-l and sphenix-l.  We would like to transition to communicating all run related e-mails exclusively on sphenix-run-l.  So please subscribe to sphenix-run-l.

Looking forward to a productive and exciting sPHENIX Run 2023,
Stefan
