eMC Meeting Minutes

April 22, 2026

Present: Carlos, Eric, Marzia, Silvia

1. Status of 2025 SoS Cycle

Status of the 2025 SoS was reviewed (spreadsheet linked to agenda).

We are in Phase 4, i.e. going back to IRs after comments from activity coordinators.

102 issues identified
12 resolved so far
remaining items still need individual follow-up with IRs (mainly email exchanges)

Deadline for IR feedback: May 4, 2026.

2. ePIC Charter v2.0

The new ePIC Charter v2.0 has been adopted.

The Council asked for the closed CC meeting on 4/17 for a summary of:

changes to eMC policy after the first SoS round
implications of the new Charter, especially the move toward more individual-based assessment (including shift from “Author” to “Active Collaborator”)

Slides have been circulated and attached to the agenda of today’s meeting.

Relevant Charter sections mentioning the eMC were shown during today’s meeting on the slides and briefly discussed.

3. Membership Policy Update

The CC has requested a draft of the new membership policy for the next Council meeting (May 29), in view of the presentation planned for the Glasgow meeting in July.

A draft will be circulated to eMC members for comments.

4. Next Meeting
