Hi all,

After today's ColdQCD TG meeting, I thought it would be useful to game out the timing of the Beam Use Proposal (PAC) preparation given the new Physics Advisory Committee (PAC) meeting date. This is based on our experience of last year’s BUP / PAC meeting process, and so probably a good starting point.

This year's PAC meeting will be on Monday and Tuesday 11-12 September 2023, the week immediately following the Quark Matter conference.

Last year, we have been asked to submit the BUP about a month before the PAC meeting (although we then eventually received a small extension). So following this timing, the BUP might be due mid-August. Thus, I think we would really want to be finishing Collaboration review and final edits through early August.

Last year, we received the official charge from the ALD, including the cryoweek scenarios we were asked to consider, about six weeks before, so in the placeholder timeline that might be in early July.

Note that the specific charge will really set the tone for the BUP - it may end up being very similar to last year’s charge (24 and 28 cryoweeks in 2024 and 2025) or we might be asked to address alternative scenarios. Nevertheless, I think the ColdQCD TG has outlined a good way forward, with the “known uncertainty" that we may only know our target luminosity scenarios when we have the full charge in front of us.
