D. Morrison: sPHENIX Report:

Had a good turn out for Hard Probes 2018 earlier this month. CERN town
meeting next week on Heavy Ion physics . Dave Morrison will give a
presentation on sPHENIX. There will also be a STAR presentation.
Collaboration meeting will be Dec 6-8 at FSU. Please register on the
Indico page. There will be satellite meetings. Some discussion about
whether they will be before or after. Meeting at MEPHI in Moscow. Santa
Fe Heavy Jet workshop will be held at UCLA. With CD1/3A, sPHENIX apply
to become a “CERN Recognized experiment”. Working with BNL ALDs office
to get application in place. Meeting next week at CERN to discuss this.
After discussion with Berndt, the sPHENIX/EIC document is now call a
“design study update” and is due at the end of Oct. M. Rosati is
chairing the spokesperson nominating committee. Feel free to contact her
about possible candidates.

E. O’Brien: Project News:

Production accounts are about to be opened. Can only spend funds on long
lead items. Balance of funds available after CD-2/3 review, currently
expected to be May 2019. Contract has been awarded for the SiPMs, next
up is the scintillating fiber for EMCal. Also up are the orders for
scintillating tiles and tungsten powder . Meeting at Uniplast later
this month in Russia. Now have official quote for MVTX staves and RU
from CERN. Funds will be routed through US-ALICE account at Univ of
Tenn. Order being put in place for the SAMPA v5, wafer run in Nov 2018.
The first HCal sector has arrived. Tiles are on order for 6 sectors of
tiles. S. Bathe is taking the lead in organizing the sector assembly
factory in 912.

Number of documents need to be generated for DOE and BNL in the coming
weeks. Working towards and agreement BNL and NP on how the projected
will be reviewed. Complete revision of the project schedule integrating
infrastructure, MVTX and INTT, both schedule and cost. Monthly statusing
for all aspects of the MIE activities has started. Updates to P6 will
continue until baselined in early 2019. Preperation of CD-2/3
documentation has started, includes TDR, revised BoEs, WBS and PMP.

2 joint Collaboration-Project issues that need to be understood: 1)
Chinese role in EMCal construction and what they are contributing. 2)
The integration of the INTT and MVTX.

Parts for EMCal sector 0 have started to arrive at BNL. Work is
progressing on the HCal assembly procedure. EMCal electronics and TPC
mechanics are progressing.

C. Roland: Inner Tracking Taskforce Update:

Items remaining: optimizing INTT design and validation of simulations.
Work has progressed on pp vertexing. pp vertexing does not need many
INTT layers. TPC calibration constraints is coming together. Work is
progressing on the code to evaluate track extrapolation from MVTX to
TPC. Still needs more debugging and validation. INTT material budget
has been done. The estimate of the amount material in acceptance
appears to be correct. Still need to update the material budget outside
of the acceptance. Need to understand cooling implications if something
other then air cooling is needed for the INTT. Need to work on the INTT
electronics simulation based on test beam data.

C. Aidala: EIC Design Study Update:

Draft greatly improved since initial release on Sept 14. Several
sections have been filled out or added, e.g. tracking detectors,
magnetic field, exec summary and conclusions. It is to be submitted to
ALD B. Mueller end of Oct. Scanned though and showed highlights from the
draft document. A small team of people from the sPHENIX collaboration
have been working hard to get the document completed. Question about
radiation studies came up. Studies are in progress but not ready for
inclusion in the document.

M. Liu: MVTX Update:
Early procurement of the MVTX staves and RUs will go through the
US-ALICE accounts at the U of Tenn. DOE and BNL management has agreed
on the process. The project schedule has been renumbered and moved into
P6. The MVTX project will most likely be viewed by DOE as an independent
upgrade project and review it separately from sPHENIX. The upcoming
sPHENIX reviews will be focused on the cost and schedule for sPHENIX, so
the MVTX will not be part of those reviews. Stave and RU production will
start next year. RU Q/A testing will be at UT-Austin, a great
opportunity for collaborators to get involved. Stave Q/A testing will be
at LBNL, another opportunity for collaboration involvement. Discussion
about the wafer production and if sPHENIX production is a separate wafer
run. An update on schedule and milestones was shown.

Recent highlights:
Completed sensor/HIC/stave evaluation
MVTX/INTT Mechanical integration
Confirmed low magnetic field in the RU/PU rack locations
Sensors irradiated to 2.4 Mrad, so impact on performance.
Inner tracking Task Force results.
Longer cables have been tested and work.
Final documentation to address recommendations from July MVTX review is
available.

Updated drawings and models of the MVTX/INTT were shown and the
mechanical interference issues have been resolved. A number of
integration issues still need to be fully resolved:
INTT final design
Beam pipe and flange location.
Final cable routing, and rack location

Proposal for 2 data MVTX-Tracking workfest @FSU in coordination with
the Dec sPHENIX collaboration meeting, please fill out the doodle pool.

Discussion about test beam in spring of 2019.
