Dear sPHENIX Collaborators,
As the release of the first papers is fast approaching, I would like to point you to the current versions of the author list and ask you to check them on last time.
Remember that all authorship-related material can be found on the Authorship Committee's TWiki page. That page includes the following items:
• Authorship Policy
• Current version of the regular author list
• Current version of the expanded author list (including exceptional authors who will appear only on the first 3 physics papers)
• Form to add a new author
• Form to notify us of an author's change in status: either departure from sPHENIX or change of institution
• Form to correct an author's name or add an ORCID
Please read the current version of the author list carefully and use the appropriate forms to notify the Authorship Committee of any needed changes. (Please email us only if no appropriate form exists.) If you wish to submit a form to add a new author, please do so ASAP. However I cannot guarantee that the Authorship Committee will have enough time to consider new reports before the first papers go out. Reports for corrections of names, changes of institutions, and other "bookkeeping" things must be submitted by close of business on Thursday, March 20.
Please check the spelling and capitalization of your name, whether any middle initials are missing, and whether any accents are needed. In short, please verify that your name is written exactly as it should be in Latin characters! Keep in mind that your supervisor may not know exactly how you want your name to appear. Every author should check for themself.
The forms are the only way to request a change to the author list. Even if you previously emailed the Spokespersons, Run Coordination, or administrative staff about a change, filling out our form is still necessary. There is no fancy database that transmits membership information to the Authorship Committee. We only know what you tell us directly.
So, please take a look at the current author list and let us know ASAP (using the appropriate form) if changes are needed. Thanks!
