Commissioning and running of sPHENIX

Dear  sPHENIXians,

sPHENIX needs to have a strong presence of experts, experts in training, and people sitting shift to make the 2024 run a success.    

We realize there are multiple situations with outside groups where travel / housing funds are limited and there are uncertainties with regards to budgets and also when the run will start and end.     As  was the case last year, there are funds available to support housing for some groups in Brookhaven apartments and dormitories.    Can all groups interested in support send an email to me (cc'ing Peter Steinberg) with your best estimate for your potential request (understanding that dates shift)?    At this point, we are just  compiling requests to understand the overall need and then coordinate.   If you  can fill in the information assuming watch shifts start February 26,  2024 and beam on March 6, 2024  and that the run ends September 15, 2024 that will sync all the requests.    Note in  particular that housing over the  summer months often requires advanced reservations.    All summer requests will need to be finalized by early February 2024, and so we need the requests much earlier.

All requests received by December 11, 2023 will be coordinated and  considered - so plan ahead.   Do not email the list, and just myself and Peter :)

Brookhaven is only allowed to use DOE funds to cover the housing costs of those persons who are US citizens, green card holders, and B1/H1B visa holders -  so please indicate clearly if any key personnel fall outside that category.    If this issue creates specific challenges for your institution, please reach out to Peter Steinberg  and cc me, to see if there are  other ways we can support your group.

* Request - names of people, status of each person, key detector support role, dates for request, type of  housing

* If the above leads to  a request for multi-month apartment housing,  indicate number of rooms, and potential willingness to share with another institution
