Dear Tony,

I am very sorry that the dates for the workfest does not fit your schedule. 
Unfortunately, we were only able to determine the plan last week, trying to 
fit into the narrowing windows in the busy summer schedule. 

Nonetheless, we would like to welcome you to attend for the dates that you 
can. And we do plan to arrange the structure of the work days to accommodate 
travel of participants. Therefore, I am trying to gather the planed dates of 
attendance from collaborators.
