I checked the numbers and it's exactly what I sent Gustaaf, so that's fine. The next step is to change the BOE and talks to reflect the (now accurate) cost sharing?

This leads me to a general questions on the overall schedule for the NSF DR. The talks and BOE's need to be on the agenda in the next week, but when will we get the "ingredients", ie the new charts, tables, etc from the PO? Are they already available somewhere?

Best, Tim

Hi all,

Apologies again for yesterday's last minute
cancellation.  I am writing to address and summarize
a few of the major upcoming issues:

- first of all, I want to wish everyone a Happy July 4
and long weekend!  I hope everyone gets a nice and
well-deserved break!

- while speaking of breaks, I would like to ask that everyone
let me know if and when you expect to be away for vacation,
through the end of September.  Breaks are very important,
and you should certainly take care of you and your family.
Given the density of upcoming reviews, etc., it would
be helpful to know when people are going to be away, so
that we can plan accordingly

- next Tues.-Thurs., we have the DOE IPR/CD3a review at BNL.
We are well prepared, and I expect things should go well.
Hao had a "practice drilldown" session yesterday with Penka,
to help further with the preparations.
(due to the DOE review, we will not be able to meet next week
in our usual Tues. timeslot)

- next up will be the critical NSF reviews, first the DR at
Columbia on July 29-31 and then the FDR at NSF headquarters
on Sept. 11-13.  We have a lot of urgent work to do to
prepare all the docs, etc. for these reviews.  I posted
on yesterday's agenda (https://indico.bnl.gov/event/6375/)
a link to the timeline for the preparations.  Tim and Andy
should take a close look, and be working on the various
documents.  Note, for example, that updated BOEs are
due on July 10 and talks shortly thereafter (templates
have been distributed).    Everything will be posted to
the DR site by July 17, so time is very short!
Keep in mind that the FDR is the major "gate review"
to (hopefully) allow the MREFC to be approved and funded,
so these upcoming reviews are absolutely critical to the
future of the project!

- part of the NSF prep has been scrubbing and updating
the Risk Register.  I posted an updated version to yesterday's
agenda.  Everyone (both NSF and DOE) should please check it
and let me know any remaining issues/comments.  This is urgent,
since George is starting the new simulation pass.

- another part of the NSF prep was to reconcile the US RLS
with the negotiations which happened as part of the MOU,
during which the US was asked (and agreed) to shift some
CORE resources from FE to BE, to provide better overall
coverage of the "money matrix" for international LAr.  In
particular, we decreased the M&S fraction for optical link
components, and increased the M&S fraction for BE sRTM.
This resulted in a shift of ~750k from 6.4.1 (Tim) to
6.4.3 (Andy), changing only a few M&S tasks where we were
planning to pay for a fraction of the total.  This will
be processed as BCP 017, which will be treated (I believe)
as an admin BCP, and will require corresponding changes
to Tim's and Andy's BOEs, etc.  (Tim/Andy, sorry that this
is coming up this way, but this was pressed very urgently
by the PO last week while you were both away; given that
it affects only M&S payments, and not any re-arrangement
of tasks or work, it was agreed to move ahead in order to
get the changes in before freezing for the NSF DR)

That is the main news for now.  We have some intense
weeks ahead of us, but are in good shape to put everything
together and pass all these upcoming reviews, on both the
DOE and NSF sides.  So, enjoy the holiday weekend, and we
will again hit the ground running next week!  I will
see Hong and Hao at BNL starting Tues. morning, and will
continue to be in touch with Tim and Andy about the
NSF preparations.
As always, any questions or comments let me know.

        All the best,
                        John
