Thanks. I would suggest L for Shipping, since you need access to the materials to pack and prepare the shipment (and similarly to receive and unpack it if the shipment is incoming).

Hi John,

I have a conflict for the 1pm meeting today.
I have filled the spreadsheet.

A simple mapping I used:
Shipping = O
Material = V
Milestone = O
Design work = O
Testing = L
Travel = T

Hi all,

We will discuss this tomorrow, but here is another
COVID-related task
that we need each L3 to take care of asap.
Regards,
John

L2 Managers, Deputies –

As we’ve discussed during our meetings, we need to begin evaluating the
COVID-related cost and schedule impacts to the project. In order to do
this,*we will need your input in flagging the activities in your
subprojects on a task-by-task basis through the end of CY 2022,
according to the following designations:

*

1. *L: lab-based (requires access to university or national laboratory
lab spaces)*
2. *O: office-based (includes at-home work, such as design work, etc.)*
3. *V: vendor work*
4. *M: management*
5. *T: travel*

To facilitate this process, Penka & Co. have generated sheets from P6
consisting of all the relevant activities in the baseline schedule
through CY 2022 (see google docs urls below). *For each activity, please
mark with an “L”, “O”, “V”, “M” or “T the corresponding box under column
“H”, labelled “Type of Work”, that best describes the nature of the work
it contains – each activity should be assigned a single, unique
designation.*

Once these designations are in place, the subsequent analyses will be
performed by applying efficiencies to these tasks by manipulating the
calendars in P6 under various assumptions about COVID scenarios (i.e.,
shelter in place, return to work, post-COVID recovery, etc.). The PO
will perform these operations and bring them back for discussion with
you as we iterate this process. The analysis will necessarily evolve as
we learn what opening up entails, among other things, but the analysis
cannot start until we have P6 loaded with the information above –
barring something unforeseen, this task-by-task loading we expect to
perform only once.

Several comments:

* A principal ambiguity will be associated with those activities that
combine lab- and office-based work (L and O). For those activities
where this is too close a call, and you cannot determine a dominant
designation, we recommend you take the most restrictive one, or L,
and also highlight the task in red (see below).
* Hard-constrained milestones, where they exist, may require special
consideration. Please highlight these in red and we will have a
look at them when we review the sheets.
* *In all cases, if you are uncertain of the appropriate designation,
or come across any ambiguities that you are unsure how to resolve,
please take your best guess and highlight the activity in red.*

We would like to begin running some numbers early next week, and there
is a premium on providing some feedback to the agencies on that time
frame. *_Please complete these spreadsheets by COB Friday, May 22_*.
The PO will review them as they are completed, so please let us know
when they are done.

Our thanks for turning your attention to this. *To underscore the
importance, we ask that, if necessary, you drop other things in order to
finish the sheets this week so that we can turn to evaluating the
impacts as soon as possible – we need completed designations for all of
the subsystems before we can move forward.* We will of course make
ourselves available in the meantime to field any questions that will
enable you to converge on this time frame.

Best regards – be safe, stay well –

Gustaaf, Hal, Jon, Penka, Mike
